This is the job for someone who would rather be busy than bored, and who has noticed they are usually the one who spots the thing nobody assigned.

A prominent Dallas single family office needs an Office Coordinator to keep a small, fast-moving office running. The office supports the family's interests across investments, philanthropy, the arts, and conservation. You will support several people at once, and no two days will look the same.

Being straight with you about the environment. There is no playbook, priorities shift during the day, and you will regularly be asked to do things that are not on this list. The person who does well here says yes and figures out how to make it happen. The person who needs a defined lane will be miserable.

The upside is real. The office is small, so what you own expands as fast as you can prove you can hold it. This role can become something larger.

What you'll own

  • Errands and offsite runs for the office and the executives you support
  • Office supplies and upkeep. Ordering and stocking, kitchen and common areas, mail and shipping, and the small things that make a day flow.
  • Calendaring and scheduling support for several executives and staff working from the office
  • General administrative support. Correspondence, document preparation, filing, expense support, and follow-through on whatever lands.
  • Front of house. Visitors are often board members, donors, and outside executives, and you own their experience from the door.
  • Meetings and hospitality. Catering, room setup, and logistics for internal meetings and office gatherings.

What we're looking for

Must-haves:

  • At least one year in an administrative, office coordinator, or front-of-house role
  • Organized enough to run recurring tasks without reminders, and flexible enough to drop them when something urgent lands
  • Comfortable supporting several people at once and sorting out what comes first
  • Clear written and verbal communication for internal and external correspondence
  • Mac proficiency, or the willingness to switch quickly
  • A valid driver's license and reliable transportation, since offsite errands are part of the job
  • Discretion with confidential information
  • High school diploma or equivalent

The details

On-site in Park Cities area of Dallas. Contract to hire, and the office is moving quickly. A background check is required before starting.
