Some executive assistants want a predictable principal, a clean org chart, and a calendar that behaves. If that is you, this is not your job.
This one is for the EA who has supported a strong personality before and found it better than the alternative. A prominent Dallas single family office is hiring an Executive Assistant to support its principal, run point on his travel and calendar, and supervise a small administrative team. The office covers his interests across investments, philanthropy, the arts, and conservation, so the work goes in a lot of directions at once.
Being straight about the setting. Small office in the Park Cities, on-site, no playbook, priorities that change during the day, and feedback that comes at you directly and in the moment. The person who thrives here finds that energizing. The person who needs process and a predictable week will not last.
What you'll own
- Travel, and this is the biggest piece of the job. Multi-leg domestic and international trips planned end to end, detailed trip folios, every segment confirmed, and real-time follow-through when something moves mid-trip, including outside business hours.
- The principal's calendar. Detailed, accurate, and prioritized, with competing demands sorted out before they become conflicts.
- The administrative team. Supervise a small admin staff, set priorities across desks, and make sure nothing falls between people.
- Research ahead of meetings and travel. Background on people, organizations, and destinations, summarized so it is actually useful instead of a pile of links.
- Meeting preparation. Materials, briefing notes, agendas, and follow-ups tracked to closure.
- Event support for board meetings, philanthropic events, and gatherings the office hosts.
- Correspondence drafted and edited on the principal's behalf, with a diplomatic touch.
- Expense reports and confidential files, handled accurately and quietly.
What we're looking for
Must-haves:
- Five or more years supporting a senior executive, with real ownership of complex travel and calendar management
- A track record building multi-leg international itineraries and the documentation that goes with them
- Experience supervising or coordinating other administrative staff
- Mac and iCloud proficiency, or the ability to switch quickly. The office runs on both and getting productive fast matters.
- Strong writing and editing. You catch the typo, and you also catch the sentence that will land wrong.
- Discretion with confidential information as a habit, not a rule you follow
- Bachelor's degree or equivalent experience
Nice to have:
- Family office, foundation, nonprofit, arts organization, personal assistant, or professional services background
What actually predicts success here: you are low ego, no task is too small, you ask before you redesign, and when feedback comes at you directly you pivot instead of taking it personally.
The details
On-site in the Park Cities area of Dallas. Contract to hire, and the office is moving quickly. A background check is required before starting.
