Own calendar, meetings, and priorities for a senior leader with a demanding schedule.

Manage confidential email, correspondence, and inbound requests with professionalism and discretion.

Prepare materials for internal and external meetings, including agendas, reports, and follow-ups.

Support onboarding and maintenance for hundreds of client accounts and additional model-based accounts (opens, transfers, updates).

Assign and track model portfolio templates with outsourced investment managers (large asset managers providing turnkey models).

Keep records clean and current across CRM, custodians, and portfolio tools while helping resolve day-to-day operational issues.

Build and maintain Excel spreadsheets to track clients, accounts, workflows, projects, and deadlines.

Perform basic bookkeeping in QuickBooks, including expense coding and simple reconciliations in coordination with accounting support.

Assist with recurring reports and metrics that help leadership understand firm performance and capacity.

Help document, refine, and standardize processes as a new 2026 service model rolls out and a retiring advisor’s book of business is integrated.

Run small operational projects from idea to implementation, making sure details are handled and stakeholders stay aligned.

Act as an internal “traffic controller,” ensuring tasks and initiatives keep moving and nothing falls through the cracks.

Learn and leverage productivity and AI tools (e.g., Copilot, Office 365) to streamline documents, analyses, and workflows.

Spot opportunities to automate or simplify recurring tasks and help the team adopt better, tech-enabled ways of working.

5–10 years of professional experience, including 3+ years in financial services (RIA, broker-dealer, bank, or similar), operations, client service, or executive support.

Proven success supporting senior leaders or managing complex workflows in a detail?intensive, regulated environment.
-
Strong Excel skills; comfortable building and modifying spreadsheets and formulas. QuickBooks or similar bookkeeping experience preferred.

Familiarity with what financial planners and/or RIAs do; comfortable around markets and financial concepts without needing to be a portfolio manager.

Confident, poised communicator (written and verbal) with sound judgment and discretion in handling sensitive information.

Naturally curious about technology and AI, always looking for ways to improve how work gets done.

Thrives in a small, entrepreneurial setting where priorities can shift and your ideas for better processes are genuinely welcomed.

Formal degree is helpful but not required; demonstrated competence, reliability, and judgment matter most.
- Have an eye on the financial results against budget and forecast. Analyze, make recommendations, and provide insight to leadership.
- Summarize financial status and complete appropriate statements to include balance sheet, profit and loss and other monthly statements.
- Prepare and record assets, liability, revenue, and expense entries by compiling and analyzing account information.
- Lead sophisticated accounting projects and initiatives across the finance and accounting team.
- Identify, research and resolve technical accounting issues and collaborate with management.

This is a fantastic chance to lead the accounting staff, be an integral part of the month and year end closings, prepare and analyze journal entries and review reconciliations for a key segment of the business all while reporting to the Assistant Controller!
Additional responsibilities and areas of focus will be:
The successful candidate for this role will be someone who has shown experience in a similar role, preferably for at least 5 years. In addition, you will have a bachelor’s degree in accounting or finance. Being a CPA is a huge benefit but not required.
